Hunting for documents after a buyer turns up — that is where most deals go cold. The buyer starts to suspect something is being hidden, and moves on to the next property.

So gather these before you list.

The main papers

  • Sale deed / title deed — the one you bought on
  • Previous owners' papers — the chain of title, as far back as you can get
  • Property tax receipts — recent ones
  • Electricity and water bills — with nothing outstanding
  • Diversion order — where it applies
  • Layout approval — for a plot
  • Building approval / completion — for construction
  • Society papers — for a flat, the NOC and the maintenance position

If there is a loan on the property

  • The outstanding amount from the bank
  • Where the papers are, if the bank holds them
  • Say so early in the deal — finding out later damages trust

If there is more than one owner

  • Identity documents for all of them
  • Written consent from all of them
  • If someone is abroad or in another city, arrange for it in advance

This is where deals lose the most time. The buyer is ready and one brother's signature has not arrived.

  • Aadhaar / PAN
  • Address proof
  • Photograph

  • Title deed found
  • Chain of title as far back as available
  • Tax receipts current
  • No outstanding bills
  • Approval papers
  • Loan position clear
  • All owners have consented
  • Everything scanned to your phone

You apply for certified copies at the relevant office. It takes time, so start before you list rather than after.
Should I hand all the documents to the buyer?
Scans are enough early on. Originals are only handed over at registry.
Can I sell a property that has a loan on it?
Generally yes, through the bank's process. Ask your bank how they handle it.
